CMS: Enabling & Migrating to Folders
Overview
Before your company can begin using Folders, the feature must first be enabled and your existing content migrated.
Important: Enabling Folders is permanent. Once enabled, the feature cannot be disabled or reversed.
Folders replace the previous Origin Group organizational model and introduce a new folder-based structure across WorkLink CMS, Create, and the WorkLink App.
Before You Enable Folders
Before enabling Folders, review the Introduction to Folders article and the following considerations carefully:
- Origin Groups will be replaced by folders
- Existing content structures will be migrated automatically
- Publishing workflows will change
- Folder-based sharing permissions will become the primary organizational model
- The migration is one-way only
It is recommended that administrators:
- Review current Origin Group structures
- Plan an initial folder organization strategy
- Communicate upcoming changes to Authors and other users
How to Enable Folders
Enabling the Feature
Cloud Customers
For cloud-hosted environments, the Scope AR team must enable the feature for your company.
Please contact your Customer Success Representative for more information.
On-Prem Customers
For on-prem deployments, a Scope Admin can enable Folders directly within the environment configuration. However, before doing so, please contact your Scope AR Customer Success Representative to ensure the migration process is smooth.
2. Reviewing the Migration Plan
Once the feature is enabled, the Company Admin will see a banner when logged into the CMS indicating that there are steps to set up Folders. When you click on the Folders tab in the lefthand sidebar, you will see the "Folders Migration Plan".
Important: Please review the "Migration Changes" and "Folders to be Created" before proceeding.
You have an opportunity to review how all of your existing scenarios will transfer over to the new Folder structure before proceeding. You can also export it as a PDF if you need to review or make changes with other people.
3. Migrate to Folders
Once you are confident that your scenarios are organized the way you would like and you are ready to migrate. Select the "Migrate to Folders" button in the top right corner. Once selected, you will receive one last warning about whether you want to proceed. If you are ready, select "Begin Migration".
What Happens During Migration
When Folders are enabled:
- A root Scenarios folder is created
- Existing scenarios are migrated into the new folder structure
- Origin Groups are converted into folders
- Existing organizational hierarchy is preserved where possible

After:
Scenarios

Origin Group Changes
After migration:
- Origin Groups no longer exist
- Folder organization replaces Origin Group organization
- Scenarios continue functioning normally
- Existing deep links and integrations continue to work
After Migration
After enabling Folders, administrators should:
- Review folder permissions
- Review CMS Management processes
- Validate migrated content organization
- Confirm Authors can publish to appropriate folders
- Train users on the new navigation experience
