CMS: Sharing & Permissions for Folders
Overview
Folders use the same sharing model as scenarios, allowing administrators and authors to control who can access content.
Folder permissions can also be inherited through subfolders and scenarios.
Permission Levels
| Permission | Description |
|---|---|
| Viewer | Can view folders and scenarios |
| Editor | Can organize and manage folder contents |
| Owner | Full control including sharing permissions |
Sharing a Folder
- Right-click a folder
- Select Share
- Add users or groups
- Select a permission level
- Choose whether to include subfolders
- Save changes
Include Subfolders
When enabled:
- Permissions apply to the selected folder
- Permissions inherit to all subfolders and scenarios beneath it
When disabled:
- Permissions apply only to the selected folder
Ancestor Folder Visibility
Users may automatically see parent folders needed for navigation.
Example:
Scenarios
└── Production
└── Printers
└── HP
If a user only has access to the HP folder:
- They will also see Production and Printers
- Those parent folders appear as read-only navigation folders
This allows users to navigate to shared content without exposing unrelated content.

Group Sharing
Folders can be shared with:
- Individual users
- User groups
All sharing and permission changes are recorded in the Audit Log.
Root Folder Access
Important: New Authors automatically receive Editor access to the root Scenarios folder unless another group assignment already grants access.
Root folder access can be revoked after Author creation.
