CMS: Bulk-Add Users on the CMS
When you need to add multiple users to WorkLink at the same time, the Bulk Add Users feature in the CMS allows Company Administrators to invite many users in one action using a CSV file. This method is faster and more efficient than inviting users individually.
When to Use Bulk Add Users
Use the Bulk Add Users feature when:
You need to invite many new users at once
You are onboarding a new team or department
You want to quickly upload user accounts from an existing list
Instead of creating accounts one by one, administrators can upload a spreadsheet containing the user information. Mandatory fields are the user's first name, last name, email address and atleast one license. It is also recommended to include the user's group.
Steps to Bulk Add Users
1. Navigate to the Users Menu
Log in to the WorkLink CMS.
In the left navigation panel, select Users.
This section allows administrators to manage all user accounts in the organization.
Inside the Users section:
Click Bulk Add Users.
This page provides the tools needed to upload multiple users at once.
2. Download the CSV Template
Click Download CSV Template.
Save the template to your computer.
The template provides the correct format required for uploading users.
3. Complete the CSV File
Open the downloaded CSV file and enter the required information for each user.
Mandatory fields include:
First Name
Last Name
Email Address
User License(s) or Permission
Important guidelines:
Add one user per row.
Ensure all required columns are filled correctly, as shown below.
The Group field is optional. However, if it is left blank, the user will automatically be placed in the "Default" group.
Save the file once the information is complete.
4. Upload the CSV File
Return to the Bulk Add Users page in the CMS.
Click Browse.
Locate and select the completed CSV file from your computer.
Click Upload CSV.
The system will process the file and begin sending invitations to the listed users.
5. Confirm the Upload
After the upload finishes:
A confirmation message will appear if the upload was successful.
Each user listed in the CSV file will receive an invitation email to join WorkLink.
7. Viewing Imported Users in the CMS
Once users accept their invitation, their accounts will appear in the Users list in the CMS. This allows administrators to confirm that the users were successfully added to the system.
Note
Users can be invited to multiple groups during the bulk upload process. To do this, list the required groups in the Group column of the CSV file as shown in the example below.
The sample CSV file demonstrates the correct format, along with how the users' groups will appear in the CMS after the invitation has been successfully sent.
Important Requirements
The First Name, Last Name, Email address and at least one License are mandatory fields in the CSV file.
The Group field is optional. However, if it is left blank, the user will automatically be placed in the Default group.
In the example above, Mary Jane is automatically assigned to the Default group because no group was specified in the CSV file.
